THE WARRENSBURG CONVENTION & VISITORS BUREAU (WCVB) HAS SET ASIDE FUNDING FOR THE PROMOTION OF EVENTS AND ATTRACTIONS EXHIBITING POSITIVE TOURISM POTENTIAL TO THE WARRENSBURG, MISSOURI AREA. THESE FUNDS ARE TO ASSIST QUALIFIED ORGANIZATIONS WITH THE PROMOTION OF TOURISM ACTIVITIES STRIVING TO DIRECTLY INCREASE HOTEL/MOTEL OCCUPANCY AND ENCOURAGE EVENTS TO EXPAND THEIR MARKETING REACH, WHICH CONTRIBUTES POSITIVELY TO THE GROWTH OF TOURISM IN WARRENSBURG, MISSOURI.  

EVALUATION PROCEDURE

The Warrensburg Convention and Visitors Bureau Grant Review Committee will review requests for funding on a bi-annual basis, January and July, for recommendations to the Board. The Warrensburg CVB will accept completed applications up to January 1st for the first review, and July 1st for the second review. There will be two optional reviews in April and October if needed. Any applications received after the deadline will be submitted for the following review cycle. Applicants will be notified of their application status by the end of the following month for each review cycle. The maximum grant awarded by the Warrensburg CVB is $5,000.


Applications will be reviewed for completeness or missing information by the Warrensburg CVB staff immediately after they are turned in. Organizations with incomplete applications will be contacted by staff requesting appropriate information to make them complete. A complete application does not guarantee funding. The Warrensburg Convention and Visitors Bureau reserves the right to reject any application for any reason.


The Grant Review Committee will review applications and then make a recommendation to theBoard of Directors for final approval of all funding. Once the Board makes the final decision on funding, applicants will be notified. Successful applicants will receive letters of agreement with funding levels.

QUALIFYING APPLICANTS

Applicants must be organizations seeking to produce and promote a well-defined tourism-oriented festival or event. Grant funds are issued to qualifying applicants through a reimbursement process.


• Applications must be complete

• All applications must be received by designated deadline

• Event must be held within the Greater Warrensburg, Missouri area

• Event must be marketed to attract visitors outside of 50 mile radius

• Include an established and current state/federal non-profit, tax exempt, or government agency tax ID #

• The tax ID # listed must be that of the official applicant or the listed partner applicant

• You must include the WCVB logo in all advertising in a size that is noticeable and proportionate in relation to the ad layout

• Proof of event liability insurance and a completed W-9 tax form will need to be provided to Warrensburg CVB prior to the organization receiving any funding

• Evaluation Form and Hotel Tracking Form must be completed and submitted no more than 30 days after event to receive reimbursement


Eligible Applicants:

• Non-Profit Organization

• Applicants partnered with Non-Profit or Tax Exempt Organization

• Applicants holding activities in Greater Warrensburg area

• Event or attraction must be open to the general public


Ineligible Expenditures:

• Administrative Cost

• Salaries

• Items for Resale

REQUEST FOR REIMBURSEMENT

A request for reimbursement form needs to be completed as it relates to the line item budget as approved, OR with a change order attached describing the change. Submit one hard copy along with invoices/receipts and product samples. Invoices must provide detail of services and goods provided including the date of the service, cost per unit, and a total cost. For radio or television spots, an affidavit of broadcast times must be part of the invoice to assure the services were received. Invoices for printed material should include a distribution statement. Attach samples of all products to corresponding invoices. Total amount of invoices/receipts may never exceed approved funds


The evaluation form and hotel tracking form should be attached to the request for reimbursement. Applicants will not be eligible for future funding if the report is not submitted.


If grant is approved, the Warrensburg Convention and Visitors Bureau agrees to reimburse for expenses described within the application based on compliance with all policies and guidelines set forth in the program, as well as those established by State Statutes. Any expenses deemed by the Warrensburg Convention and Visitors Bureau to not be allowed, by either the policies of the grant program, or statutes governing the use of Lodging Tax Funds, will be denied.


Further, a full post-event report with approximated number of persons attending the event, and hotel tracking form must be submitted. The report must include the approximated number of overnight stays that were generated by the attendees of the event; the number of persons traveling over 50 miles to attend the event; marketing plan success/failure; and improvements to event in the future.
